Frequently asked questions
The questions we hear most often when customers are evaluating. If yours isn't here, feel free to get in touch.
Basics
What is a smart locker?+
A smart locker connects to the internet and the cloud so that items can be handed over and managed without face-to-face contact. Users can reserve and open or close lockers through a smartphone or the facility's official app, while administrators can check and manage usage remotely.
What makes the KEYVOX Smart Locker distinctive?+
The KEYVOX Smart Locker combines centralized cloud management, API integration with official apps and external systems, and scalability that suits large facilities. It works across a wide range of settings — stadiums, hotels, offices, and commercial facilities.
Adoption
How much does it cost upfront?+
It varies widely with the number of units and the specification, so please contact us for details. If you provide interior or exterior dimensions, we'll deliver drawings and a quote within two business days.
Are there running costs?+
There may be a cloud service fee and a maintenance contract fee. The monthly cost is made up of "box price × number of boxes + base price × number of controllers." Because the specific unit prices depend on the features you use, please contact us for details.
Can it be customized?+
Yes — we handle design and size adjustments and integration customization flexibly. Because we cut with a large laser cutter at our dedicated factory, we can customize size and color from a single unit. We'll propose the option that best fits your requirements.
What sizes can you make? Is there a surcharge for size changes?+
We can design to either interior or exterior dimensions. Among the units we have actually built, sizes range from a tabletop W560 × H775 × D220 mm to a large-luggage W4,160 × H1,800 × D500 mm. Changing the size itself carries no surcharge, and choosing from the 50 standard colors carries no fee either (woodgrain and camouflage finishes, custom-mixed paint colors, and custom logos are optional add-ons). Actual dimensions of representative configurations are summarized on the "Sizes & configurations" page.
What are the benefits of adopting it?+
You can expect gains on many fronts — greater convenience for users, smoother operation through contactless handling, lower labor costs, and stronger security.
Are there any downsides?+
The main points are that it requires some upfront investment and that it depends on connectivity. That said, manual unlocking with a physical key is possible even during power or network outages, so you can use it with confidence.
How long does it take to roll out?+
It depends on the number of lockers, the site conditions, and the scope of system integration. Generally, plan on about 3 months from contract to installation and operation.
Features & specifications
Can it be operated from a smartphone?+
Yes. You can unlock by holding up a QR code issued at reservation or check-in on your smartphone. Depending on how you use it, unlocking and reservations are also possible through the KEYVOX app or the facility's official app (which requires development and integration).
Can it be unlocked with an employee IC card?+
Yes. You can choose Mifare or Felica and use existing employee badges as keys, so there's no need to hand out new credentials for each handover. Card registration and revocation can integrate with internal directory services such as Outlook, riding along with onboarding, transfers, and offboarding. Contact us for details on supported services and integration methods.
Are advance reservations and online payments possible?+
Through API integration, you can combine it with external reservation systems and payment services.
Can it be managed remotely?+
Yes. You can monitor and control usage in real time through the cloud. Remote unlocking is also a single button away from the web admin console.
What happens during a power or network outage?+
Even then, manual unlocking with a physical key is possible, so you can use it with confidence. An emergency-unlock area for power outages is also included.
Can it be embedded into our existing in-house app?+
Yes. KEYVOX publishes a locker API, so you can embed reservation, unlocking, and history retrieval into your own app. Because it shares the same interface as the KEYVOX API for locks, you can combine entrance unlocking and locker unlocking in a single implementation. See developers.keyvox.co for details.
Is maintenance required?+
On-site maintenance for the first year after installation is included in the price; we come out for issues that require on-site attention at no extra charge. From the second year, you can choose a maintenance plan to match your scale of operation and budget. Because an emergency-unlock area for power outages and manual unlocking with a physical key are standard, you'll never be unable to retrieve items even if power or connectivity is lost. Contact us for plan details and pricing.
What is the support setup?+
Chat on the support portal (support.keyvox.co) is available 24 hours a day, and inquiries are logged as tickets so you can follow their progress. A voice-based support channel is also in beta. In the official Discord community, you can interact with experienced members and other adopters. Feature additions and improvements are applied from the cloud via remote update, so there's no need to swap out on-site equipment. Specialist staff support you from adoption through operation.
Can it be used for operations other than the ones featured?+
Yes. The use cases we list are the patterns we see most often, not an exhaustive list of what's possible. KEYVOX lockers run on UnlockOS, which provides everything from availability checks through reservation, confirmation, lookup, and return as a workflow. You can choose the approach that fits your requirements from four levels: start with just the dashboard, use the ready-made app for users, embed it into your own website, or integrate it into your own system via the workflow API. Tell us your specific operation and we'll tell you at which level it can be built.
